**Refund and Rescheduling Policy**
**Standard Cancellation Policy:**
- Cancellations made more than 14 days before the scheduled rental date will receive a full refund minus a 15% processing fee.
- Cancellations made 7-14 days before the rental date will receive a 50% refund.
- Cancellations made less than 7 days before the rental date are non-refundable.
**Rescheduling Policy:**
- Rescheduling is allowed up to 7 days before the event date, subject to availability, with no penalty.
- Rescheduling within 7 days of the rental date will incur a 20% rebooking fee.
- Once rescheduled, the reservation becomes final, and no further cancellations or refunds will be permitted.
**Gamers Grove Cancellation:**
- If Gamers Grove cancels for any reason, a full refund will be issued to the renter, and the renter may choose to reschedule at no additional cost.
**No-Show Policy:**
- If the renter does not show up for their scheduled time without prior notification, no refund or rescheduling will be provided.
**Payment Terms**
- Payment must be made in full at the time of booking.
- Acceptable payment methods include credit cards, debit cards, and PayPal.
**Damages and Liability**
- The renter is responsible for any damage to the premises, equipment, or property caused by themselves or their guests during the rental period.
- In the event of damage, the renter agrees to reimburse Gamers Grove for the full cost of repairs or replacement within 14 days of receiving an invoice.
- Gamers Grove reserves the right to pursue legal action for damages exceeding $100 if payment is not received within the specified timeframe.
- Normal wear and tear are excluded from liability.
**Set-Up and Clean-Up Policy**
- **Set-Up Time:** Renters are allowed a 15-30 minute courtesy period for set-up before the event begins. This time must be used solely for decorating and preparing the space. No gaming or event activities are permitted during this period.
- **Event Time:** The rental time begins when the first game is played or when guests start arriving. Time will be tracked from the moment activity in the venue starts, not from the set-up period.
- **Clean-Up Time:** Renters are allowed a 15-30 minute courtesy period for clean-up after the event ends. This time is included in the total rental period and must be used to restore the space to its original condition.
- **Overtime:** Any time spent beyond the allotted set-up or clean-up period will be billed at an overtime rate. Additional time must be pre-approved and is subject to venue availability.
**Maximum Occupancy**
- The maximum number of guests allowed is XX. Exceeding this limit may result in immediate termination of the rental and forfeiture of the security deposit.
**Noise and Disturbance Policy**
- Noise levels must remain respectful to ensure the comfort and safety of all patrons and staff. Gamers Grove reserves the right to determine if noise or activity levels are disruptive.
- If deemed disruptive, Gamers Grove may issue a warning or terminate the event without a refund.
- Renters are expected to cooperate fully with any requests to adjust noise or activity levels.
**Food Order Policy**
- To ensure accurate preparation and avoid unnecessary costs, customers are encouraged to confirm their final guest count at least 48 hours before their event.
**Over-Order Policy**
- If additional pizzas are ordered upfront and not consumed, Gamers Grove cannot offer refunds or credits for the extra food.
- Customers are welcome to take any leftover food home.
**Order Adjustments:**
- Adjustments to food orders can be made up to 48 hours before the event. After this period, food orders are considered final and non-refundable.
**Recommended Ordering:**
- To avoid over-ordering, we suggest estimating based on a conservative headcount and increasing the order closer to the event, as needed.
**Force Majeure Clause**
- Gamers Grove is not responsible for events beyond its control, such as natural disasters, power outages, or government restrictions. In such cases, renters may reschedule without penalty or receive a credit for future use.
**Photography/Videography**
- Photography and videography are permitted for personal use only. Commercial use requires prior approval.
- Gamers Grove reserves the right to take photographs and video recordings during the event. These images and videos may be used for promotional or marketing purposes.
- If the event includes minors, Gamers Grove will obtain prior parental or guardian consent for the use of any media involving children.
- Renters will be notified in advance if any media will be taken that may feature them or their guests.
**Alcohol and Substance Policy**
- Alcohol is strictly prohibited on the premises. Controlled substances are also prohibited, and violations will result in immediate termination of the rental.
**COVID-19 or Health Guidelines**
- Guests must comply with any current health and safety protocols, including capacity limits and sanitation measures.
**Late Arrival and Overtime Policy**
- Late arrivals will not extend the reserved rental time. Overtime will be billed at $XX/hour and must be approved in advance, subject to availability.
**Dispute Resolution**
- Any disputes will be resolved through mediation. If mediation fails, disputes will be settled through arbitration in accordance with the laws of New Jersey.
